New Contact Data Entry

Hi there,

I would like to understand why the contact data entry method has changed, as I got a notice saying that it has been made to be 'more simple', by needing to now create an extra contact 'note' and typing the extra email addresses or phone numbers manually rather than the original method where you simply select an option in a new field and enter the data directly.

Can you please change this back to the original format as this has now caused a huge issue with the way my contact database is formatted and the information is displayed in a way that is impractical? This can really affect my business and working efficiency in a negative way.

Thanks.

  • I would have to, unfortunately, agree. What happens now with contacts that have more than one email address? I regularly get emails from John.Doe@example.com or from John@example.com. Am I now supposed to maintain two separate records for them? It is all very well having the email address in notes but this is now essentially lost because as soon as I get an email address in from their other email it will create a new record.

Come on Insightly. I know that this will make syncing with other systems easier but it also degrades the functionality of your application. Why not have a primary email flag instead to say that this is their primary email, the one that should be synched with other systems etc.

  • Hi David,

Further to your message, I just noticed as well that when exporting all the contacts onto a CSV, the additional email addresses and phone number will not be included on the csv, thus making exporting our contacts even more confusing as we would have to manually cross check each individual contact..

  • I agree as well. I now have thousands of records to go through to make sure the correct information is still listed on each Organization. We deal with many large corporations and most of them have more than 2 phone contacts. This is not the product we purchased. I would really like to have this rolled back to the previous version ASAP.

  • @Robert Nurse & @hscarbrough, one good thing is you can export old data structure here: YOURACCOUNT.insight.ly/settings/ContactInfoAdminTools.

  • Thank you Petr. I just really hope I don't have to use the export to move to another CRM!

  • This is absolutely ridiculous. Why the need to change everything around? The majority of our contacts have at least 2 email addresses, work and personal. Why is home address not a valid field anymore? And six phone numbers and an assistant's name and contact may the necessary *some* of the time, though far from often. I'd rather put in a note in those situations than have a note every time we have two email addresses. It has also ruined the entire interface look, with so many empty spaces, and my custom fields have all been pushed down to below screen level. Hours and hours of work will now be required to fix things up with a change that wasn't requested and that seems to be the sentiment across the board - why??

  • Hi All,

We're looking into this concern and hope to have a solution soon. We'll be sure to follow up on this thread with updates as soon as they're available.

  • Hey Petr,

I tried to use the contact export and it is not the same organised format as the ones that I have from before this update. For example, the contacts names are now in one single field rather than having separate fields for First Name and Last Name. This is going to create a lot of work just to get the database sorted all over again as we would need to copy and paste each first/last name into a separate field.. I hope we revert to the previous system as soon as possible.

  • I am on board with changing back. It is almost like the system stepped back 6 years. The ability to open the drop down as opposed to scroll your life away when entering the contact is a definite step in the wrong direction, and as I bring many clients on to your platform, now have actual customer service issues since you guys have done this. Please revert to the previous system. This is just not acceptable.

  • Robert,

Are you still having that export issue?  That is unrelated to the 3/25 update, and if it's still happening please let me know in this post so I can help you with it.

    Marie,

We apologize for the inconveniences that this update has caused your business, but please understand that these changes were made to help enhance and improve the Insightly product and overall system performance in the long term.  Now that this update is in place, we'll be able to add powerful new features in the coming months to streamline many of your workflows and processes.

I know that, because these changes aren't here yet, it's hard to look at the changes we made kindly, but I want to assure you that we've learned a lot from that update and, in future, we're going to do better communicating with you about changes that we implement and why they're being made.
