Have the ability to rearrange tasks/ add new tasks to an existing activity set

There is no possible way to move tasks within an activity set. If I have 20 tasks within and activity set,  and I need to add a task between task number 14 and 15, I can not do that. I have to literally delete all the work, add the task and then retype all the work. I would LOVE to have this issue resolved

    Hi,

    Tasks and events in activity sets are ordered by the due date of the task or event. So if you add a task or event to an existing activity set and set the due date before the other tasks in an activity set it will appear ordered as the first task in the set.

  • A really really powerful and useful of way of doing this would be for Insightly to develop Excel XLXS sheets using VB that call the API's to extract data, allow the management of the data externally (in an Excel XLSX), and then (via API calls) delete/refresh same data and (via API) bulk reload the data. This applies not only to taks / Activity sets but many many other data elements in Insightly. ie. if you started to provide clients with XLS driven APIs to extract certain elements/tables, then refresh and reload same data... this would be so so powerful and I imagine be adpoted widely throughout your user community.     The problem with this is that it only accepts whole days.... and our tasks need to be done on the same day, with a logical order.

    If the Due Date fields accepted fractions of days we could at leasty use this to fool the system into have the the right order of tasks - within the same day.

    And the tasks need to be attended to immediately, not after a 1 day wait.

    ie.

    Task 1 Due date 0.01 days

    Task 2 Due date 0.02 days

    Task 3 Due date 0.03 days

    Task 4 Due date 1.1 days

    Task 5 Due date 1.2 days

    Task 6 Due date 1.3 days

     etc.

    Obviously a much better solution would be to have an Order number field, or a drag and drop handle to reorder.... but could live with the above if need be.

  • You might also note that when you do try to add a task to an activity set and put in a fraction of a day... there is no information / error message, it simply does not create the task.

  • I note there is no API for Activity sets for us to try to be able to develop an external (eg XLSX, VB -> API calls) way of providing this functionality ourselves. arrrrggghhhg.

    I like the UI better than anything else I'm looking at

    ...HOWEVER... lack of being able to order tasks due on the same day (or not having a due date) is significant enough force me to choose a competing product. Where is this on your product roadmap?

    We appreciate your feedback. Tasks and events in activity sets are ordered by the due date of the task or event. We have suggestions for Custom Filter for Tasks however it is not currently on our road map.

  • another possible user here... and not being able to sort activity lists is a disappointment.

    We have multiple tasks that occur over just 1 or 2 days. So resorting isn't possible under the current setup.

    I'm guessing this is hard to change, as the functionality is hard-coded into insightly. But being able to enter days as fractions, ie 1,5 - would at least allow some greater flexibility here.

  • Using due dates is not a complete solution. Not everything is done with a due date because due dates are often not under our organization's control. Also, the due dates only come into play when you apply the activity set to an entity. The solution does not have to rocket-science. Just use an order field and allow us to change it. Then allow the listing of the activities to be by the order field. Real simple. The ordering is just a display thing and you don't even need to have any linkage with due dates. The order is for the activity set. The optional due dates are for the activities when they are applied. It's separate.

    I also think its likely that when you support the order field, the people who need the due date to be time of day, won't need it so badly. The ordering will take care of it on the given due date.

  • Agreed. I would definitely like to see the ability to drag and drop / reorder tasks in order to prioritize them.   Due dates, stars, and tagging are helpful for organization but re-ordering is the most important.

  • Hi! Any updates on this? It's really frustrating to modify an activity set and insert a new task between the existing tasks. There is a "Drag to reorder fields" functionality in the Custom Fields use case, why can't it just be copied to the Activity Sets use case?

  • This is the only thing that drives me crazy about Insightly. Every other task management software I've encountered allows reordering of tasks - why wouldn't they? Not allowing the task order to be modified is kind of like making a car that only goes forward - very frustrating!!!! Especially when all the other brands allow you to drive in reverse?!

  • Such an excellent CRM package, held back by this pretty fundamental need to order activity and pipelines in a meaningful real-world way.

    Any timeline for doing this or is it completely off Insightly's radar?

  • Not trying to be a jerk, but not being able to drag and drop tasks with no due date is becoming enough of a time-waster that I'm exploring moving more of my workflow to Trello.  (No issues with how you handle tasks with due dates though).

    I understand that part of the challenge is that in Insightly tasks exist independently of any opportunities, projects, etc., whereas in Trello they're only connected to a specific card.  So in Insightly, if you re-order a task without a due date in the opportunity view, there's no easy way to know how to handle that task if it's also part of a project or know where it goes in the master task list (again if it has no due date).

    But how common is it to have the same task linked to multiple projects/opportunities/leads?  I would imagine the vast majority of tasks are all connected to one and only one "parent" element.

    I for one would rather have my tasks "locked" so they only exist as part of a single project or opportunity.  That way you'd be able let us drag and drop tasks the way you can in Trello, without having to worry about accounting for that task in multiple other views.

    I'd gladly give up the ability to link a task to multiple elements in order to be able to drag and drop, and just duplicate that task the in the rare event I have a task that applies to multiple larger projects or opportunities.

    As for the master task list, I'd be okay if you just cut out anything without a due date all together.  If there's no due date, it's obviously not urgent enough that it needs to be in the master list.  Or you can do what you do now and group them all the bottom based on the date added.
