File import limit

The free Insightly account has 2500 record limit. I am attempting to upload 2030 accounts and I am being told that the file exceeds my account's file import limit.

Help please!

  • @Richard- Please note a record is any item stored in Insightly such as contacts, projects, organizations, notes, emails, events, tasks, opportunities, leads; therefore if you have existing records within your free Insightly account it will limit what you can import into the account.

  • So if I upload an excel/CSV file with one column containing 2000 rows, that leaves me 500 records?

  • It depends the amount of records you currently have on your account and what your file consists of. You can have multiple columns within each row that would not count towards your record count such as a Contact import file that includes phone numbers, email address, home address and Custom Fields. Each Contact would still count as one individual record; however if you include an Organization then that would be a separate record from the Contact.

  • I do have a quick question. I broke my importing into 2 parts. One for just the organizations and then one for the contacts. For the organizations, I had the web address listed and on the contacts I had their email address. However it doesn't look like they are syncing up together. Was there a tab that I should have had in both CSV's to ensure that they link? I thought having the website and emails would have been enough to connect them. Thanks in adavnce

  • Unfortunately, the email address or Contact name would have needed to be included in order to link them.

  • Thank you. Can I delete the orgs/contacts I imported and then re-import them together so that they connect?

Also, if I delete a org/contact does it still count against my account limit?

  • You can choose to delete the record (once deleted it will not count towards your record count) and re-import the information in order for them to connect.

  • Nora I'm hoping you might be able to give me some guidance. I'm trying out Insightly with the free version for now and I'm trying to import my contacts from Quickbooks. I've exported them to an Excel file which I'm trying to import to Insightly. I see that the free version is limited to 2500 records, and also a 500 row file import limit. I have 894 rows in my contact list so I'm trying to import the first 400 and it's telling me that I've exceeded my file import limit. Any thoughts?

  • @Rob

Sometimes when you break up the import file into different parts some blank cells remain which unfortunately count towards the total.

Make sure to have those extra fields removed.

*Note: A record is any item stored in Insightly such as contacts, projects, organizations, opportunities, notes, files, tasks, events and emails. So if you have already reached your record limit you may receive a similar message.

You can see how many records you have by going to the top-right Profile > select Billing & Account > you will have the option to see your Account Statistics including the Record count.

  • Good call Nora! I merely copied the first 499 contacts into a new Excel file, saved it, then imported that. Voila!! Thanks!

  • Dear Nora.

I am having a similar problem . I says that I have reach my upload limit and that we should upgrade.

I am tried uploading only 200 contacts from a spreadsheet.

    "First Name "

    "Last Name"

    "Email Address"

It says that we have only used 8% of our records. not sure what the upload limit is if any.

  • Hi Tamaisha:

I see that you are on a paid plan. Since this is going to call for some additional troubleshooting with your data, I'm going to open a Support ticket for you. Keep an eye out for an email :)

  • Hi  -  I'm having issue importing a csv file. I initially exported my leads then on the exported file, I just added the tags. Now, I can't import the document. It say it has reached the limit. How is that? what is our limit?

  • Is there any way for me to call you guys or any live chat? I really need to import the file and it keeps on telling me that it has reached its limits.

I have used the template as suggested before and tried to minimize the importing to 499 (row) but still it is giving me the same error. Please help ASAP.

  • Hi,

Im on the USD 15 per month plan, tried to import 67 contacts here but msg said I've exceed my file limit and asked me to upgrade.

What's the difference of 25k records and 5000 rows file import limit? Currently I have 3246 contacts.

    Please help! Thanks.

  • Hi Jeanne:

The difference between the record limit and the import limit is that you can have 25,000 stored in your Insightly account (Contacts, Organizations, Opportunities, Projects, Tasks & Leads). However, these records can only be imported 5000 rows at a time.

Is the error message telling you that you have exceeded your record limit or that your import file is too large (has too many rows)?

  • I only have 15 records in my Insightly account yet it doesn't want to import any contacts. My account is connected with Google Apps under the domain sonbolah.com

I cannot get the account set up and it is stopping me from working propely. Please help, immediately.

  • Hi Omar,

Are you receiving an error message when you attempt to import?

  • Same problem, I just signed up, I had no prior contacts, tried to load 1500 rows of firstname, lastname, email was told it exceeds my account limits and must upgrade.

  • I see the problem, your import process is limited to 500 records.  Sadly, There is no indication beforehand.  I tried making a file with a single import record then it tried to start the mapping process and at the top of the mapping it reports "You can import up to 500 records in one file."  A serious deficiency in both functionality and user communications.

I see that Rob also figured that out (above) but I had not caught the 500 limit in his comments. PLEASE put something to indicate that at the start of the import NOT the start of the mapping, especially as the mapping portion never starts if you exceed 500! (c'mon people)

  • Hi Nora,

I'm simply trying to conduct my very first import, of an Excel file of 625 contacts/rows (well within the free limit) yet I'm receiving an error message saying my attempt exceeds the limits of the free account. Column headers as follows:

There are some empty cells within the email column. Is Insightly construing "chapter" or "university" as separate records?

  • Hi Randy,

You're receiving that message due to the Free plan having a limit of 500 import rows.
