Better task filtering

The end result I would like to achieve:

Filter the tasks that are relevant to what I am doing now.

Currently, I have the ability to filter tasks by category. However I would like to further refine by the nature of the task. “Admin”, “Sales”, “Marketing”, “Business Development”, etc.

So, if I have allocated time to doing “Administrative” tasks, I would like to be able to find all my administrative tasks (whether they be to do, phone calls, follow-up, emails, etc.)

If I allocated time to doing “sales” then I would like to be able to find all my sales related tasks (whether they be to do, phone calls, follow-up, emails, etc.)

I thought of a few ways:

CATAGORIES: To be able to assign multiple categories. To a task so it could be filtered  as “phone call & Sales” or “all & sales”

TAGS: Tags are ideal because you can have multiple tags per item (Insightly university 110) “tags make it easy to find groups of items in a timely manner”.

Also possible but less ideal would be custom fields and to create more task categories such as “Phone Call – Admin”, Phone call – Sales”

The issue is that tags, filters, custom fields, seem to have neglected tasks. I can not apply any of them to tasks and after all, it all comes down to tasks.

The promise of Insightly is to be better organized by being able to group similar items together. Tasks seems to be a neglected aspect of that thought. I highly recommend the application of tags to tasks.

    There is an option to to Bulk Edit Tasks by selecting the Tasks you want to move due dates on and then clicking the Change Due Date button, see below:

    Once you change the due date, you will need to do a hard refresh (Ctrl+R on your keyboard) to see the updated date.

    Since filtering by keyword is not an option nor on our road map at this time, I would recommend you create a new thread in Product Feedback, so other users can vote and comment too. That helps us to prioritize features as we continue to build out the product :)

  • We need to be able to give tasks more than one category. Also define roles within the business and have only the people within those roles see those tasks.

    All I can do is show my open tasks to see my entire list, but I want to be able to have multiple lists. with many categories within that list. So that when I wear one of my many hats, ie. Business devlopment, I just see those tasks for that job.

    Please guys, sort this out, it can't be so hard.

    So after being told that this was very high on the list of priorities, nothing has been done (other than advanced reporting which does not really seem to help.

    most of my problems (and I believe the problems of other users) would be resolved with the addition of functions already present in other areas of insightly. The ability to use tags in tasks VERY BENEFICIAL.

    When can we expect change? I am at a point where I need to look for an alternate CRM unless this is going to be resolved.

  • I'm glad to know that I'm not the only one that is really struggling with the tasks area. I was just hoping to add the ability to filter on more than one category, or to be able to exclude a category. I cannot concentrate on what needs to be done when all my someday/maybe items are showing. We should be able to exclude them from regular view, and then turn on just them when appropriate. All this has been covered already, just felt the need to add my .02. 

    Reports are great, but I'm way more focused on trying to get the work done!

    Has anyone found another solution that meets the identified needs? I'm ready to start testing another solution, which makes me really sad.

    The biggest issue is not being able to tag tasks. If that was applied, then multiple tags could be applied to a task and searches could be refined. Add to that the ability to sort by due date and importance and I think most users would be satisfied. Add to that more mass edit capabilities and it gets way better. Unfortunately, id don;t think Insightly really gives regard to how important task management is. I also started looking for a different solution but I just don;t have time to switch.

    The best workaround I've put so far is to use a combination of projects and task categories. I created projects that are not really projects. they are just .silo's for tasks. So, for example, All my projects start with the letter P and all my task categories start with the letters TC (just easier to use links later on.) so, for example, I have a project called P Admin. All my administrative tasks go into that project. Then each task is categorized TC IT Work, TC Sales Admin, etc. ... I can then go to the project and view all the associated tasks and then see the various categorized tasks within. When I create a task, I link it to both a project and task category. A task such as "schedule back up on new PC" would fall under "P Admin" and "TC IT Work".

    I still can't really sort (by date, importance, etc.) nor by task category. I have  A LOT of tasks and i need to drill down to the tasks that are most important. So, my work around is far from a perfect solution but it works to a degree that helps me function better.

  • Thanks Ayal. Good tips. We are also looking at moving from Insightly. Too little progress is made with this app by the devs to parts of the system that dearly need it. There are better options available now. :) A shame that Insightly will lose people because of their lack of care around these issues.

  • I agree with everyone else here.  I need the ability to sort tasks by category (ie. phone call, email, etc.).  Basic GTD functionality.

    Yes, we do need you to improve your task managment. I suppose this will make your crm much more relaible for tasks:

    1. You need take best simple functionality from "wonderlist" - first of all a field for quick dropping priorities http://prntscr.com/ch9e4j

    2. Quick adding task without details (as in wonderlist) - i suggest this http://prntscr.com/ch9fio

    3. Better filtring or tagging tasks will be very usable

    4. Ability for check-box to a couple of tasks http://prntscr.com/ch9gjg for finising them in project tasks - as we have at list of tasks http://prntscr.com/ch9hb6

    5. Maybe check-list in the task

    This simple steps keep us from paying:)

  • On the task list-I want to see what priority it is and be able to sort by priority

    I also want to see who assigned the task

    I also want to see the progress bar

    (There is plenty of room for all the above information- maybe even be able to select what information is shown on the task list)

    When I look at the completed list I want to be able to see the ones I have done most recently at the top (why do I want to see the tasks I did 3 years ago at the top?)  Also, the date completed needs the year shown.

    I want to see what was completed today, or yesterday or last month (sort by date)

    I want to sort by user, and then by open or completed, then by date,-  This might look like this- I click the user- it shows all tasks for the user, then I click completed- it shows the user then the completed, then I click priority- it shows the priortiy, then I click the date- it shows by date.  So I end up sorting by many many ways until I see only what I want to see

  • Wow, this was requested back in 2015 and still not done? Even just task tagging and sorting on those tags would be a tremendous step forward. I'm just beginning my evaluation and will hold off on subscribing. Insightly?

  • Hi Ircbizgroup, yes. It has been quite some time. At one point, Insightly said this was one of their top priorities. i haven't heard anything since. As you say, just the ability to tag tasks (and have multiple tags per task) would be extremely helpful. it was part of my initial suggestion. No such luck so far.

  • +1 for better features around task management. Echoing what others have said, here are the top improvements I need to make tasks truly usable. 

    1. Quick entry of tasks without details. It takes far too long to enter each task. 

    2. Quick way to move tasks between due groups e.g., drag and drop between overdue, due today, due next week

    3. Grouping the list of tasks by category or project

    4. Email forward  address specifically for tasks

  • Agreed with any/all of the above. I need to be able to group all tasks underneath the company in a report and there's no way in the task screen or the reporting for tasks or organizations.

    A Company:

     - Task #1 - Due Date - Other linked fields

     - Task #2 - Due Date - Other linked fields

    B Company:

     - Task #1 - Due Date - Other linked fields

    etc.etc...

     

    And hopefully it could be done on all available tasks or by specific organization.

  • Hello everyone, with the release of the New Insightly User Experience, many of the suggestions proposed here have been delivered. @Bryan - your list has been delivered completely.

    We've really been happy with the changes and have been spending time removing the workarounds we had in place, since they are no longer needed.   Productivity is definitely much better with the improved task list.   I love the sidebar, the related view, etc.  For the way we use Insightly this was a complete and positive overhaul and much appreciated.

  • Hi Jeffrey,

    I would recommend using the "Compact View" for Tasks within the New Insightly Experience. (please see screenshot below)

    We will then segment Tasks, based on their due dates, into "overdue", "today", "tomorrow", "later", and "completed" categories.
