Link emails to Tasks

Would like to be able to link Emails to Tasks, in addition to Projects, Opportunities, Organizations and Contacts

  • I would like to be able to do this as well. There may be one task that needs multiple emails connected to it. All we can do now is make a project to bring it all together, which is "bigger" then just having a simple task with emails connected to it.

    The only thing that would be tough (for me) is that if all my tasks show up in the "links" form as I type, it would be tough to find the specific task I want. I had a lot with the same names, since I am doing the same task in multiple projects. Being able to find "Contact Client" would not make sense without the project / contact / org also being displayed. And displaying that will the task seems like it might be too much data to come out. Without that, it might just be more frustrating than helpful.

    With that said, it would be nice to have a way to connect tasks with the same freedom that the other asset types already allow. As long as it does not become overwhelming somehow.

  • I found a possible workaround that may help.

    If you open your Email > under Actions select Create Task from Email > Name your Task/Fill in all required or necessary fields > Click Save > a Task will be created Linked to the Email.

    Let us know how it goes.

    I do not believe that is a 'workaround". That is just how we have to create a task from an email. A "workaround" would be if we could make this process go faster.

  • This "workaround" works only for an initial emal from which a task has not yet been created.

    A more common use case is the need to link emails to Tasks already in progress , whether created in advance or automatically created as part of project activity sets.

  • Not only is it not a workaround,

    but if you actually create a task from email - the EMAIL does not get "LINKED" to the task,  The email text just gets dumped into a task note - (which is kind of messy since some emails contain HTML and other Markup)

  • Is this something that is coming?  Without the ability to get back to specific emails promptly from tasks created from them creates a major workflow problem and the productivity of this product is greatly diminished.  I am in trial right now and will consider another product mainly for this flaw although I like a lot of the UI and rest of the platform.

  • I need this feature too. I set tasks to ask my boss questions. When she answers in email, I need to link the completed task to her email response. Thanks in advance for creating this functionality.

  • This feature should be added as a priority. Most of the time you set up a task according to an email you have received, for example a follow up question or a phone call at a predetermined date, or simply a reminder. Also linking more than one mails from different contacts to a single task will be helpful as linking contacts to a task won't simply cut it.

  • I, too, agree this should be added.  If I've already created the task, I do not want to create an additional task if I find a related email.  I should be able to simply link the task and email.

  • I agree,  this is a major workflow issue and I will likely abandon this crm if I am unable to link emails to tasks.  Some tasks require multiple emails and to try and figure out which emails are linked to certain tasks are a major time killer.  Please add this linking option as a priority!!!!!

  • I'm actually very surprised this feature doesn't already exist!  We do so much correspondence around tasks it would really make a difference to be able to QUICKLY see what actions have been taken towards completion!!!

  • Agreed - I create a task, send the contact an email about it, they respond and after getting their response into insightly email, I'd like to link the message to the existing task. I know that I can create a new task from an email, but in many cases, the task predates the email. Thanks!

  • Yep. I've just searched for how to do this and discovered it is not a feature. I think Insightly is great for organising my projects and tasks, but if it is not able to readily link to emails then it is not really a CRM in my eyes. This is the kind of functionality it would make people pay to upgrade for, but so far I can't see any benefit in moving to the paid upgrade.

  • I've been a subscriber for 2+ years now - this is the #1 feature I'd like to see added.  Especially with all the thought that went into the Insightly Sidebar, why can't you just add a dropdown choice from the existing insightly button to "create task from email?" 

    See screenshot.  Choosing the dropdown could then populate the sidebar task window like it would if it normally created a task from an email in the Email section of the main insightly dashboard.

    The process of creating tasks from emails has ALWAYS been super cumbersome, and as a result I've never used the functionality.  I've always created tasks manually, which can be less than streamlined.
