Mail Merge option for snail mail would be awesome

We deal with a lot of clients (older folks) who simply do not have email accounts. I need to prepare bulk letters to my contacts that must be printed and mailed. A mail merge function with letter templates would be awesome. Right now I have to download my contacts into csv file, and re-upload them into mail merge for word.

Then I have to copy the file to the contact record, or apply a note/complete a task for each person on my contact list that I have mailed to. 

Please add a regular mail template option and mail merge for contacts to generate letters.

  • I am also very surprised that the crm does have mail merge. Mailings (physical mailings not electronic) have always been and will continue to be an important marketing tool. We publish magazines and we send copies of our magazines to existing clients and prospects. We attach a letter to every one of these mailings and not having an easy way to create or pull up a letter from Word and print a mailing to a specific set of contacts is a big negative. Finding 3rd party partners (like a Zapier) was what I didnt want to have to do. Especially, for such a basic straight forward process. This creates extra work. I look to a crm to be able to have these tools in place. Its disappointing.

  • I find it hard to understand why this isnt on the road map.  If you look through the feature requests you'll find at least 5 requests specifically asking for mail merge options.  Everyone prepares documents....letters, proposals, quotes, notes, etc specifically for or regarding contacts we have in the database.  Why is there no way to easily extract that information?  Telemagic offered this basic option 20 years ago.  Numerous other CRMs offer it now.  Why not Insightly?

  • I appreciate that it would be easier if mail merge were built into Insightly but until that happens I would recommend using the advanced reporting to create a merge source. If you are sending out the same letter on a regular basis the process would then become semi-automated.

    You could set up a scheduled report so that it is sent through on a regular basis. You would save the report in a specific location so that the Word document can pick it up and use the current data. Then create your mail merge.

    This does not help you to get the data back into Insightly but would help automate one part of the process. At present there is no way to update existing records.

    If Advanced reporting was part of the API it would definitely be possible to write some code to do this whole process and is something that I would be interested in developing.

  • I hope Insightly does not become complex like Sales Force or other "big" CRM: it's strength is its simplicity. Investing development power in those features means to slow down the really cool new features ;)

    Just do as suggested: Reports + Zappier bridge integration can do today what Insightly will (maybe) integrating in months.

    Here's another way to deal with it: When we do classic mailings on dead trees ;) we

    1. first tag the contacts with #mailing_xyz and
    2. export all selected recipients to csv
    3. which becomes a Google SpreadSheet.
    4. In Google Text App the AddOn Mail Merge deliveres one or plenty final docs for printing.

    If you want to document what went out just reference to the digital source in GDrive; the export selection Tag is there anyway.

  • So I have spent hours importing contacts and leads and setting up diary and contact sync, Xero sync and now learn there is no simple mailmerge. Stunning waste of time. Someone tell me I am dreaming.
