Sending emails to organisations

Hi!

 

I don't find the ability to send emails to organisations (email addresses saved within the organisation details). Why is it so? If that's the case, then what's the use of having the field.

  • Hi, I agree with Aziz - What would be great as well is if we could email all contacts within multiple organisations. A problem that we are facing is duplicating data from the organisation to the contact in order to do this.

    E.g. Organisation > Custom Field (Product A as Checkbox)

    I would like to send an email to all organisations who have product A to let them know about some upcoming changes to the product. Products are associated to organisations, not contacts.

    Currently I have to duplicate this field into the contacts custom fields, and duplicate entry of this in order to email everyone within this organisation. Will this be a development at some point as it is incredible time consuming!

  • Whatever! But, it's definitely not an efficient way of doing things. You have to create a contact in the name of the organisation/department to save it's email address for mass emailing.

  • We really need the functionality to be able to email organisations on mass.

    Our customers are on different pricing structures, so we wanted to do a filter on their pricing structure and email out on mass the relevant price lists.

    Now I learn this is not possible - not going to be an easy one to explain to the team.

    Is there any plant to make this a feature within the system, or do we have to find a workaround?

    I do agree that this is surely quite a basic functionality piece that needs to be addressed. I have only recently signed up but trialing a few different systems concurrently. If this is not in the pipeline then we will be moving to a more advanced system. Please advise.

  • We are now actively looking at other CRM providers as the latest update to insightly has removed all links between contacts and organisations, apart from the organisation name. It is unbelievable that being able to filter contacts based on custom fields in organisations, or projects that an organisation has been linked to has not been implemented. This is the most basic requirement of a CRM.

    Example: I want to e-mail all contacts using our product. There is a custom field tick-box in each organisation where our product is being used. This is not possible using insightly. Until this is fixed my advice to any new user is look elsewhere for a CRM if you require this basic feature.

  • Hi Aziz! Thank you for taking the time to post in the community! 

    There are a couple of different ways to send email to the email address within an organization. 

    You can click directly on the email link within the record itself. This will open whatever email account your browser is currently logged into to. For example: If you click on the email link and you're logged into Gmail, a compose email window will open in Gmail in a new tab in your browser. 

    Or, you can go to the Emails tab within Insightly > Click New Email > Type the Organization's email address in the "Send To" field.

  • But that way, you have to remember each organisations' email address(es) to be able to type it in manually. And what if you were to send an email to various departments within an organisation or to multiple organisations?

    Sorry for the confusion.

    You're right, you would need to remember the Organization's email address if you're using the Insightly Email Tab. A workaround is to link a Contact to the Organization with the Organization's email address. The email address for the Contact would then come up from the drop down Contacts for you to choose from.

    Jessica, also suggested clicking directly on the email link within the record. When you click on this link and your email account opens you will have the opportunity to type additional email addresses to send your correspondence to multiple organizations.

  • Hey Mike,

    Thank you and everyone else for their feedback. Customer dialogue such as this lets us know what features are needed. At this time, you would still need to create a contact and add organization details to send an email this way. Otherwise, going into your email tab and sending it directly would be your best bet.
