Automatically linking Tasks and Emails

When sending an email to a contact or a lead (which are linked to an Opportunity or Project), is there any way to have that email also automatically linked to the Opportunity? Likewise, when adding a new task, is it possible to have that task appear across all associated contacts, leads, and opportunities?

Right now, every time I send an email, be it through Gmail, I have to go back and manually link it to the Opportunity, and lead. Also, if I send the email to the Lead in Insightly, I still also have to go back and link to Opportunity.  This is a big waste of time. Is there a better way to do this?

I want to be able to go into Opportunity or Project and see the full scope and current status without having to do investigative work to dig back through the Lead and Contact to piece together what is going on. As I am using it so far, I don't see a way to send messages directly from Opportunities, so I end up in the situation described above.

Please help.

  • Hi Rachel,

     

    If I understand your question, Opportunities and Projects have a designated e-mail address associated with them It should be in the "About " tab. So anything to do with that opportunity/project can be bcc'd on your e-mails and will go straight to the Opp.  As Nora mentions above, e-mails for leads and contacts have to manually be linked.

  • Hi Melissa, When I go to the About tab in Opportunities and Projects, I do not have a field to enter an email address. Could someone from Insightly verify if I should be seeing an email field there/if it's possible to enable that? I would love for Melissa's solution to work... Please verify. Thank you!

  • You will see an e-mail address in the About tab that is specific to that opportunity. Put that e-mail address in each e-mail related to the opportunity and you will find the e-mail goes to the e-mail tab in that Opportunity.

  • I do see that now, thank you Melissa. That is still incredibly time consuming as it is a separate email for each opportunity. I would still have to open the opportunity, copy that link, then go back, and add it to my email , rinse and repeat for every different email that I send out....This is just as many steps as having to go back after sending the email and manually linking it to the opportunity. It seems I just need to put in a feature request so that all emails are shared between linked contacts/leads/opps/projects automatically. It just seems logical for this to happen if these are linked.

  • I agree it can be time consuming. I have put in a feature request.  And in the interm,  I set up an Excel spreadsheet that has all the emails address for my different opportunities.

  • This seems to be a bit of a bain in terms of time saving.  However, I guess now I think about it, I could set up rules in Outlook to BCC the Insightly address in.
