Email not linked to all recipient organizations

 

I saved an email from Outlook to insightly using the outlook add-on. A few minutes later, I went back to also create a project from that same email (it opened a pop-up window where I edited the project name and confirmed).

Now, the problem is that when I look at that email in insightly, it lists all the recipients as it should but it only lists some of the organizatons at which the recipients work and I'm not sure what the logic behind that is.

Here are some more details: It looks like only the organizations of those recipients are missing whose profile and organization was created the moment the email was imported. Participants who were already in my contact list are linked to the email but their organization is not.

    Were some of the recipients in the BCC field? We've had issues with the BCC field not linking because I believe the system only reviews the TO and CC fields when linking emails.

    No. And even if it were, that would not explain the issue because if that was the reason then the contact would not have been linked either. But as I said, the contacts show up fine.

  • I apologize, I was thinking that if the contact was in the BCC field neither they nor their organization was linking. I'm afraid I can't be of more help here. Hopefully another hero can chime in OR someone from the tech team can look into it.

  • One other thing I thought of, do you have an email domain set up for the organization? This should help to link emails:

  • That could have been the reason! The email domain was not setup for those orgs that were missing. But what's strange is that when I added them, one of the orgs was added to the email but not the other one. If none had been added, I'd have assumed that orgs only get added the moment the email is imported but not afterwards, but this way, it doesn't make sense. 

    Moreover, I think it doesn't make sense that organizations are not added to an email when the organizations' employees are correctly linked to both the organization and the email.

    I hope support staff will be able to clear this mystery up (and possibly initiate a ticket for repair).

    BTW, Amanda: I think you're not supposed to include the @ in the domain.

  • I think I can now confirm that the reason for organizations not being linked to emails is that these organizations don't have an email domain.

    I think that is a problem. Firstly, people don't always use their organization's emailaddress and secondly, even when they do, you may not have filled in the email-domain field of every single organization. And filling it in afterwards wont help you either because emails wont be updated retrospectively. And neither is there a function that would allow you to bulk create email domains.

    So I'd like to suggest that insightly does not rely on the email-domain field when linking organizations to emails but rather use the contacts' organizational affiliations instead. Seems quite imple to me: since the contacts are already linked, you just need to go one level deeper and also add the organizations to which these contacs are linked.

    Do I need to resubmit this as a feature request?
