Mass importing Organisations with linked Contacts

I want to mass import over 1000 new Organisations but I don't know how to link individual contacts to these Organisations without doing it manually, one-by-one. Ideally I'd like to import the Contacts along with the Organisations so that they are automatically linked in Insightly. How can I do this?

I've mass uploaded Contacts before but they haven't been linked to any Organisations. Basically I just want all my Organisations automatically linked to the employees that work there.

    Yes, you can import Organization.  This article does a great job of explaining the import process.

    Since you'd like to import the contacts along with the Organizations linked, you have 2 options:

    Method 1:
    Import organizations and then contacts (org information needs to be on import file)

    Method 2:
    Import contacts and organizations together

    Method 2 Steps are:
    1. Delete old contacts
    2. Format new import file to include contact and org info
    3. Import (map the data correctly)

    You're done!

  • Hi, I'd also like to do this and have already imported my contacts some time ago.  Since importing there have been many emails and notes etc.

    My question is if I delete the old contacts and re-import everything so that I have the organisations set up properly too, will I lose all of this other info?

    And can you point in the right direction for export what I have so not to lose any information?

    I would not recommend deleting your contacts. Especially because you have existing emails and notes etc linked to them. Deleting these records will remove all the links. 

    Are you attempting to update existing Organizations or want to link new Organizations to existing Contacts?

    I'm updating existing Organisations.  When I imported my information (around 180 contacts) I don't think I had an organisation column, but had a custom column that says 'Business Name'.  So the name is there, but just under the wrong field.  I have been slowly adding them and linking them to the contact person, but I wondered if there was a quicker way of doing it.

    Thanks for the clarification!

    Since you are updating existing Organizations. There's another way you can choose to move forward with. You now can update these records via import. Our FAQ article Understanding bulk updating with imports will walk you through it with some great screenshots.`

    Updates to existing records are based on Record ID number. With that in mind, to update your records, we recommend:

    1. First, Export the records you'd like to update
    2. Edit the file to change the records
    3. Import the file and choose the "update records" option

    Some other tips about this process:

    • Add New Records will still use duplicate checks when importing.
    • Update Existing Records will ONLY find a match by record ID and update the matching record
    • Add New Records and Update Existing Records will do both
    • There is no undo button, so we recommend testing a small subset first. But you could always update your import file and try to update again. :)
