Preparing your Data

Before you import your data, review the following information to prevent errors. 

  • Your admin will need to enable Products, Price Books, and Quotes first.
  • All types of standard and custom fields can be used. 
  • If a Quote record is synched with an Opportunity record, all fields matching the name and data type will be automatically synced.
  • You can only set one currency per Price Book.
  • Price Books can be edited, but they cannot be deleted once they are associated with a Quote or an Opportunity.
  • Products can be edited, but you cannot delete them if they are associated with an Opportunity or a Quote.


How to Import Products

  1. Open the Products object.
  2. Click the Import Products link in the sidebar. If the sidebar is not displayed, click the Show Sidebar icon.
  3. Click Select File, then choose a file to be imported. Click Next.
  4. Choose an import action.
    • Add New Records - Add new records and skip records that Insightly recognizes as duplicates.
    • Update Existing Records - Update records that match the Record ID field in your file. Skip all other records.
    • Add New Records and Update Existing Records - Update records that match the Record ID field in your file, skip duplicates, and add all other records.
  5. Select a Field Delimiter.
    • Auto-Detect
    • Comma
    • Semicolon
    • Tab
  6. Uncheck the Skip the first row when importing checkbox if your file does not include a header row.
  7. Click the Trigger Workflow Automations checkbox if you want to trigger workflow automation actions that are applicable to the records you are importing.
  8. Click the Send Notifications checkbox, which allows users to choose whether these record change notifications will be sent or not. By default, record change notifications will not be sent.
  9. Click Next.
  10. Insightly will display three columns: Insightly Field, Column Name, and Your Data. Select or verify the Insightly Field for each column in your file.
  11. Click Start This Import.


How to Import Price Books

  1. Open the Price Books object.
  2. Click the Import Price Books link in the sidebar. If the sidebar is not displayed, click the Show Sidebar icon.
  3. Click Select File, then choose a file to be imported. Click Next.
  4. Choose an import action.
    • Add New Records - Add new records and skip records that Insightly recognizes as duplicates.
    • Update Existing Records - Update records that match the Record ID field in your file. Skip all other records.
    • Add New Records and Update Existing Records - Update records that match the Record ID field in your file, skip duplicates, and add all other records.
  5. Select a Field Delimiter.
