How to Create a Custom Field

You can set up custom fields to hold unique information that you'll need to record in your CRM. After creating a field, you'll add it to a Page Layout, where you can create sections to group your fields.

Each Insightly subscription plan limits the number of custom fields you can create per object.

  • Free
    • 2 custom fields per object
  • Plus
    • 50 custom fields per object
  • Professional
    • 100 custom fields per object
  • Enterprise
    • 200 custom fields per object

Field Types

The following field types are available for custom fields:

  • Auto Number: A system-generated sequence number that uses a display format you define. The number is automatically incremented for each new record.

  • Lookup Relationship: A lookup field that connects this object to another object. Users can create a link to a record in the connected object.

  • Calculated Field: A calculated field is a read only custom field that derives its value from other fields, expressions, or values entered in the formula above.

  • Checkbox: A True (checked) or False (unchecked) value.

  • Date: A date value. Manually entered or chosen from a date picker.

  • Date/Time: A date and time. Manually entered or chosen from a date and time picker.

  • Number: A number value. Leading zeroes are removed.

  • Percent: A number value to which a percent sign will be automatically added (e.g., 10 becomes 10%).

  • Dropdown: A list of values you define. A user can select only one. 

    • To sort values alphabetically, check the Sort values alphabetically, rather than the order entered. Values will be displayed alphabetically everywhere. checkbox.

    • Check the Always use the first value as the default value checkbox to set the first value in the list of values to be selected by default.

    • A search box can be added to the dropdown by checking the Allow searching through options in dropdown checkbox, which enables search functionality within the dropdown. This option is off by default.

  • Multi-Select Dropdown: A list of values you define. A user can select one or more.

  • Text: Any combination of letters and numbers up to 255 characters.

  • Multi-Line Text: Any combination of letters and numbers up to 4000 characters across multiple lines of text.

  • Website: A text field for a website URL that will be displayed as a link.

  • Telephone Number: A text field for a telephone number.

  • Email Address: A text field for an email address that will be displayed as an email link.

  • Image: A field to upload images.

How To Create a Custom Field

  1. Go to System Settings >Objects and Fields.

  2. Select the object you’ll be creating fields for. You can create fields for Contacts, Organizations, Opportunities, Leads, Projects, Tasks, Events, Products, Price Books Entries, Quotes, and Custom Objects.

    Tip

    If the field you're creating already exists for a different object, you can select that object and duplicate the field.

  3. Select Object Fields from the Object Management menu.

  4. Click New Field.

  5. Choose a field type and click Next.

  6. Complete the required fields:
    • Field Label – Enter the name for your new field. For example, we are going to create a new field under Contacts called “Billing ID.” (You won't be able to use the same field name twice.)
    • Field Name - The name will automatically fill after you've added your Field Label, but you can alter it if needed. Note: Field Names are followed by __c (two low dashes, then c).

  7. When creating a numerical field, enabling the Apply Formatting checkbox will allow for commas to display in numerical values when applicable. 
  8. Click Save Custom Field.
  9. Add the new field to a Page Layout.
