Insightly's global search bar is located at the top center of your screen in Insightly to help users locate specific records based on the search terms entered. When you click the search bar’s text field, the last ten records you've viewed will be displayed. When you start entering search terms, Insightly will list matching records in order of relevance. Pressing the Enter key or clicking on one of the "Search [search term] in …" links in the results will take you to a search results page with more matches.
Optionally, results can be filtered down further by using the dropdown located on the left-hand side of the search bar, which is labeled All. Use this dropdown to select a specific object to filter the search results by, including the results that appear as you type. All objects that can be searched within the app are available in the drop-down, with the exception of dashboards and reports. If a record was recently added, it may take a few minutes for it to appear in search results.
Results are based on the search terms entered and what they match to. For example, an exact match to a contact name will rank higher than matches in notes or comments. When a user searches for Contacts or Leads within the Global search (top search box), search results display the email address of the Contact or Lead in parenthesis alongside name in this format: Name (Email). If there is no email associated, only name will be displayed.
Force exact text matches by using quotes. For example, typing Cabral will find all records containing that string, such as Cabrallo and Cabraló. However, a search for “Cabral” will display only the results that match the text exactly. Insightly won't match characters without accents to similar characters with accents. "Pete Álvares" will not match "Pete Alvares".
Email Addresses and Web Addresses
When a complete email address or URL is entered, the Email Address or URL fields will be prioritized to find the best results. For email addresses, enter a full or partial email address to find matches. For web addresses, enter a full URL to find a match.
Phone Numbers and Number Strings
Entering a string of numbers without dashes, hyphens, or parentheses will return matching phone numbers and other number strings regardless of their format in a record. The entry must match the entire number; partial matches will not work.
Tags and Field Values
Any records that have a single tag can be searched using only that tag as the search criteria. Similarly, if a field has a specific value, it can be searched for using that value.
